How to structure your documents so your AI assistant gives better answers

The quality of a grounded AI assistant's answers depends heavily on how your documents are written. To get better answers, structure your content so each passage is self-contained and clearly labeled: use descriptive headings, keep one topic per section, spell out answers in full rather than relying on context from elsewhere, and put the most important facts in plain sentences. A grounded assistant retrieves passages and answers from them — so the easier a passage is to understand on its own, the better the answer.

  1. Use descriptive headings. "Refund window and eligibility" beats "Section 4." Headings help retrieval find the right passage.
  2. One topic per section. Don't bury the shipping policy inside a paragraph about returns. Separate topics into separate passages.
  3. Write self-contained answers. State the full answer in the section — "Refunds are available within 30 days of purchase" — rather than "as noted above, this also applies here."
  4. Lead with the fact. Put the key information in the first sentence of a section, not the last.
  5. Spell out specifics. Concrete numbers, dates, and names ("within 30 days," "by email at…") are easier to retrieve and answer than vague phrasing.
  6. Keep it current. Remove outdated documents or re-upload revised versions so the assistant isn't answering from stale content.
